Asset Record IT · IT equipment and installations

Every IT device tracked from the warehouse to installation

Access points, switches, servers, phones, cameras, PCs: every device has a QR label and a record with serial number, MAC, state, who holds it, location and the history of operations. The database is queried by label code, serial or MAC and exported as CSV and JSON to the customer's systems.

How it works

  1. Label. Codes are generated and printed from the application, on adhesive A4 sheets, an A4 grid or a thermal printer, with a print log that prevents duplicates. Pre-printed labels work too. On first scan the record is created and the device is in stock.
  2. Reading codes. Next to the serial number and MAC fields a button opens the camera and reads the barcodes on the manufacturer's label: Code 128, Code 39, EAN/UPC, ITF, DataMatrix, QR, PDF417. The MAC is recognised and always stored as AA:BB:CC:DD:EE:FF.
  3. Record and history. Every state change asks for confirmation and stays in the history with operator, date and time, together with notes, photos, videos and voice notes.

Features

Device data

Category, brand, model, part number, serial number, MAC address, firmware, warranty end, piece mark, port or socket, held by, location, notes. Every change is logged.

Custody

When a device leaves the warehouse the application always asks who takes it: a person, a company or a depot. It can then be handed over to someone else, for example the installer, and the history shows every step.

Warnings

Serial number or MAC identical to another device, a possible double label. Missing serial number. Installed device without a location. Warranty expired or about to expire.

Search

A label code, serial number or MAC opens the device directly. Otherwise search covers all fields, with filters by state and warranty and sorting by date, model, state, location or warranty end.

Delivery notes

Delivery note or invoice as PDF or photo, lines read with AI or entered by hand. At receiving each device is scanned, matched to its line and its serial and MAC are read on the spot; the comparison flags missing, extra and quantity differences.

Export

All devices as CSV for Excel and JSON for the customer's other systems. A read-only interface lets other software look up a single device.

Device states

Allowed transitions are defined: the record offers only those possible from the current state. The last action can be undone.

Deployment

Each customer has a separate instance, with its own address, database, files and users, over HTTPS and with daily backup of database and files. Login is with username and password, in user and administrator roles; only an administrator can delete a record. Categories and warranty notice days are configured per customer.

It runs in the phone's browser, on iPhone and Android, with nothing to install; it needs a connection.

Current scope

There are not yet mandatory fields by category or state, links to network controllers or monitoring systems, offline operation, or roles beyond user and administrator.
